Job : Finance and Administration Manager

The Finance and Administration Manager is part of the Senior Management Team of the Bureau and plays a key role in the financial management of the Bureau’s resources. This role supports and reports to the Executive Director

Qualifications and Experience
Applicants must have

  • Bachelors of Accountancy (BAcc) Degree or equivalence
  • A full completed professional qualification such as ACCA, CIMA, CA, CIS, or other
  • Must be registered with PAAB
  • Master’s Degree in Accounting/ Business Administration or its equivalence is an added advantage
  • Other higher qualifications and certifications will be an added advantage
  • A minimum of 5 years post qualification experience in relevant field; preferably in large organizations
  • Experience in Public Sector Accounting is an added advantage

Key Result Areas/ Duties

  • Oversee the production of IFRS/IPSAS compliant Consolidated Annual Financial Statements
  • Establishes effective accounting systems and procedures and oversees the accounting functions
  • Producing accurate financial reports related to budgets , accounts payables, account receivables, expensed etc
  • Manage cash flow, payments, general ledger and bank reconciliations
  • Developing cash flow statements
  • Asset management
  • Providing advice in making financial decisions
  • Directing investments
  • Developing strategies that work to minimize financial risk
  • Collecting, interpreting, and reviewing financial information
  • Ensure that annual internal and external audits are conducted efficiently, smoothly and timely
  • Review financial reports and seek ways to reduce costs and maximize resource use
  • Supervision of accounts and administration staff

Job : Training Officer ICT & INNOVATION

The incumbent reports to the Programme Coordinator

Qualification and Experience

  • Bachelor’s Degree in ICT or equivalence
  • At least 3 years relevant experience and a track record of good performance
  • Proven working experience in ICT
  • Master’s Degree is an added advantage

Key Result Areas / Duties

  • Establish Partnerships with key institutions by developing high end ICT programmes
  • Developing sellable ICT and Innovation Programmes
  • Performing administrative functions relating to the recruitment for students for long term programmes, short term training programs
  • Responding to student queries (both physical and online enrolment applications) for long term/short term programs
  • Capturing statistics of enrolled students into the ”Student Records Management System and E Learning systems
  • Ensure all registered students are paid up
  • Developing and reviewing the cost of programs to ensure program viability and sustainability
  • Assisting in the recruitment of facilitators for long term/ short term programs , process facilitators contracts and claim forms, report facilitators recommendations and feedback management
  • Responding to enquiries for long term/ short term programs
    Coordinating day, evening and weekend classes
  • Performing administrative functions related to examinations processes
  • Updating website information on training

Job : Training Offer – International Business Languages and Diplomacy Training

The incumbent reports to the Programme Coordinator.

Qualification and Experience

  • Degree in any of the following foreign languages (Chinese, French , Portuguese)
  • Master’s Degree is an added advantage
  • At least 3 years relevant experience and a track record of good performance

Key Result Areas

  • Interpreting and Translating foreign languages
  • Selling of all training programmes to the industry
  • Drafting of an expression of interest to prospective clients
  • Preparing training proposals for client engage and presentations
  • Ensuring that all programme related administration is conducted effectively and efficiently
  • Developing and designing course programmes for languages in consultation with key stakeholders (i.e industrialist etc)
  • Developing interactive instructional programmes to engage students in learning process
  • Preparing instructional materials based on student learning styles and interest
  • Creating structures, positive and learning environment for students
  • Participating in staff meetings , conferences and workshops
  • Monitoring students academic performance and provide feedback to improve student learning and developmental skills
  • Compiling teaching materials and interacting with students via email / and other social media platforms

Job : Stores Officer

The incumbent reports to the Finance and Administration Manager

Qualifications and Experience

  • Degree in Purchasing and Supply Management or equivalence
  • At least 3 years relevant experience and a track record of good performance
  • Proven working experience in stores management

Key Result Areas / Duties

  • Receiving of purchases according to their specifications as in the invoice and requisition
  • Maintenance of Stocks and stock records
  • Issuing of stocks to the needy departments
  • Track and account for all incoming and outgoing products
  • Confirm proper and timely delivery of products
  • Perform various inventory counts; order supplies and goods as needed
  • Compiling orders from the departments and appraising the buyer of re-order levels
  • Keep track of inventory and supplies that need restocking
  • Track and ensure deliveries are received
  • Compile reports and inventory and supply balances
  • Attention to detail
  • Customer service details
  • Customer service skills
  • Organization and time management skills
  • Ability to perform well under pressure
  • Familiarity with inventory management systems
  • Ability to work well with procurement, suppliers, customers and other team members

Job : Administration Officer

The incumbent reports to the Finance and Administration Manager

Qualifications and Experience

  • Degree in administration or equivalence
  • At least 3 years relevant experience and a track record of good performance
  • Proven working experience in stores management

Key Result Areas

  • Administration of transport portfolio (ie vehicle movements, repairs, servicing and fuelling
    Records Management
  • Maintenance of Asset register and ensuring all assets are coded
  • Ensure asset inventory list are constantly updated
  • Assists in Project monitoring
  • Administers and submits departmental expenses, taking into consideration the budget
  • Assists in the preparation of the Annual Budget for the Administration department
  • Ordering office supplies
  • Submission of Monthly & Quarterly departmental reports
